Table Tennis Victoria - Operations Update

With the 2020 AGM successfully held on Saturday 15 May in the Champions Room at the Melbourne Sports & Aquatic Centre (MSAC), TTV thought it would be timely to provide a reminder of its organizational structure, and the individuals who perform specific functions in the TTV office.

Broadly speaking, TTV’s duties are performed by its Board, its Sub-Committees, and its Staff.

  1. Board Directors

The Constitution allows for seven Elected Directors, and up to two Appointed Directors, led by a Chair and Deputy. Directors are elected and/or appointed for a term of up to three years, and perform their roles on a voluntary unpaid basis.

Jack Cyngler is currently the TTV Chair, and was recently re-elected on an unopposed basis until the 2024 AGM. Daniel Moloney is the current Deputy Chair.

When seeking nominations to join the Board, a skill-set matrix is used to identify required areas of expertise, and areas where additional knowledge could be beneficial.

The responsibility of the Board is to ensure compliance with the governance requirements of the organization (legal and financial), as well as ensuring that its activities are in line with the strategic objectives that it approves.

Common skills sought in potential Directors include (but are not limited to) areas such as legal, financial, leadership, commercial, advocacy, marketing, and government relations expertise. Of course, it is necessary for several (but not all) Directors to possess an understanding of the table tennis landscape.

TTV’s current Directors include Lawyers, Chief Financial Officers, Local Government officials, Sports Industry professionals and Digital Economy experts, several of whom are long-time table tennis enthusiasts.

Board diversity is key to the success of any organization which seeks to properly serve the broader Victorian community.

TTV is committed to Sport Australia’s gender targets in the boardroom, and has incorporated these goals into its Constitution. TTV is proud to have achieved these targets when asked to report to Sport & Recreation Victoria in recent times, and encourages applications from all individuals, regardless of gender, sexuality, ethnicity, or disability.

 

  1. Sub-Committees

All TTV sub-committees are appointed by the Board annually through an open application process which is administered through October – December. They are automatically dissolved upon expiry each year.

They are charged with discrete tasks which do not require whole Board involvement, and effectively act as special working groups.

Sub-Committees perform critical operational roles by sharing the workload which would otherwise fall exclusively to TTV staff.

Currently, committees are convened to provide help and guidance across areas including:

  • State Selection Panel
  • State Disciplinary Panel
  • High Performance
  • Tournaments
  • Country/Metro Championships

Whilst not possessing decision-making powers, Sub-Committee recommendations are highly regarded by the Board. Depending on the nature the Sub-Committee, they may meet regularly, or only on a needs-basis.

As per the Board Director positions, these roles are performed on a voluntary basis and are not compensated in a real sense, other than by expense reimbursements or nominal stipends in some cases.

 

  1. Staff

The day-to-day operations of TTV are conducted by its paid staff. In simple terms, the role of the TTV office is to execute the strategy which has been formulated through consultation with its members, and endorsed by the Board.

TTV’s strategic objectives across the 3 areas of Participation, Profile & Performance, are directly addressed by the careful and deliberate deployment of these staff resources.

There are currently five roles employed by TTV:

 

  • Chief Executive Officer (CEO) - Ritchie Hinton

Overall responsibility for co-ordinating the efforts of all office staff. The CEO maintains a clear avenue of communication with the Board, as well as providing the liaison point with key stakeholders including the State Sports Centres Trust, Sport & Recreation Victoria (State Government), VicSport, VicHealth, Consumer Affairs Victoria, Table Tennis Australia, and TTV’s commercial partners.

The TTV CEO also performs the function of Company Secretary.

  • Events & Clubs Officer (ECO) - Claire Montgomery

Tasked with the administration and co-ordination of TTV’s club and member services (inc. registration), this role is the day-to-day contact point for most Affiliate & Member queries.

Member services include Coaching & Officials courses, accreditation, and delivery of the state tournament calendar.

Club services include on-going club resource development and training through the EPIC.TT program, policies and governance updates, and club website/registration portal assistance.

  • Participation & Programs Officer (PPO) - Sean Sturrock

This role deals with TTV’s expansion plans into non-traditional areas.

Initiatives under the auspices of the PPO include Sporting Schools, Spinneroos, Corporate Cup, Pulse Pub League, pop-up events, and the School Sport Victoria Primary School Cup

  • Media & Marketing Officer (MMO) - Jason Bast

All TTV’s customer facing activities, whether servicing existing Member’s (i.e. membership registration upgrades, running tournaments, club education programs), or seeking to grow the footprint of the sport in Victoria (i.e. pop-up events, or the Pulse Pub League) require under-pinning by a solid marketing presence.

The MMO function performs this role, and oversees content creation and updates across TTV’s digital platforms including the website, Facebook, Instagram and LinkedIn.

  • High Performance & Competitions Coordinator (HPC) - Rahul Mathew

TTV runs several on-going programs which serve as a central point for its high-performance activities (serving 50 State players weekly), as well as providing and administering a reliable weekly program at the State Table Tennis Centre at MSAC in Albert Park.

These programs include junior, open and senior competitions on Wednesday, Thursday, and Friday, including the TTV Premier League with over 100 players enjoying competitive play in a friendly atmosphere year-round.

The HPC function performs the administrative and coordination role required for the effective running of these programs.
